A great school assembly can spark curiosity, build school spirit, and give students a shared experience they talk about for weeks. For many schools, the PTA is the group that makes those moments happen. But booking an assembly involves more than a sticky note on an open calendar date. Budgets, schedules, curriculum connections, facilities, and school policies all play a role. Whether your PTA is planning its first assembly or its fiftieth, a little preparation helps you choose a program that is worth its weight in gold.
School assemblies come in many forms, from science shows and author visits to character education presentations and hands-on STEAM experiences. Some are single performances in the gym, while others rotate small groups of students through hands-on stations over the course of a full day. Costs vary depending on the program, audience size, and performance schedule.
Most PTAs fund assemblies through fundraising, grants, or a line item in their annual budget. Because assemblies take place during the school day, the PTA/PTO rarely books alone. Principals, teachers, front-office staff, and sometimes district leaders need to approve the date, content, and logistics. Many districts also require vendor paperwork, such as proof of liability insurance, a signed contract, or background checks for presenters working with students. Checking these requirements early can save everyone a few headaches later.
Instructional time is valuable, so an assembly should earn its place on the calendar. The best programs reinforce what students are learning, introduce new ideas in memorable ways, or address needs within the school community, such as kindness, safety, or career awareness. When an assembly connects to state standards or a current unit of study, teachers can build on the experience with classroom discussions and follow-up activities.
Assemblies can also give students access to experiences they might not otherwise have outside of school. A hands-on science program, an engaging performance, or a fresh look at a familiar subject can spark an interest that continues long after the assembly ends. Thoughtful planning helps ensure the experience is meaningful, inclusive, and appropriate for the students attending.
Mobile Ed would love the chance to bring one of our programs to your school! We know PTAs/PTOs have a lot to consider when choosing an assembly, so we’ve answered a few common questions to help make the planning process a little easier.
How far in advance should we book?
Aim for two to four months ahead, and even earlier for popular times like fall kickoffs, National Bullying Prevention Month, National Reading Month, and end-of-year celebrations. We fill our calendars months in advance, so having a few possible dates in mind can help.
Can students with special needs participate?
Absolutely! At Mobile Ed, our shows are designed to be enjoyed by everyone. We can also make adjustments to specific programs when needed. For example, our SkyDome Planetarium is wheelchair accessible, and some schools choose to schedule a dedicated session for their students with special needs. Let your Regional Program Manager (RPM) know about your students’ needs so we can discuss the best options for your school.
Do Mobile Ed programs align with state standards?
We typically align our programs with Next Generation Science Standards (NGSS). If your school needs specific curriculum connections, ask your RPM for a list of standards aligned with individual shows. This helps teachers connect the assembly to classroom instruction and identify opportunities to reinforce learning afterward.
How can our PTA pay for a Mobile Ed program?
PTAs can use PTA/PTO funds, fundraiser proceeds, and eligible grants to help bring Mobile Ed programs to their schools. We never charge a travel fee, and we offer multi-school discounts and seasonal sales to help schools make the most of their budgets. Ask your RPM about current offers and options for your area.
What logistics should we plan for?
Confirm the space, power outlets, parking or unloading access, arrival time, and a staff contact for the day. Work with teachers and administrators to build a schedule that allows enough time for performances, transitions, and a lunch break for your presenter.
How do we know if the assembly was worth it?
Ask teachers and students what they learned and enjoyed. Their feedback can help your PTA evaluate the experience, plan future programs, and share the value of the investment with members.
